Workflow Hub is a visual workflow tool built into monday.com designed to bring clarity and structure to status-driven processes. It lets you define the steps in your process using Status columns, map how items move between those steps, and see the valid paths for each item. Its goal is to remove confusion about what to do next, reduce status-jumps that don’t make sense, and help teams work more efficiently.

To get started, install the Workflow Hub app from the monday.com Apps Marketplace. Pick a board where you want the workflow, and make sure it has a Status column (if not, add one). Label the status steps clearly to match your team’s process (for example: “To Do,” “In Progress,” “Review,” “Completed,” “Blocked”).

Then switch to the Workflow Hub Board View. Choose the Status column, draw the transitions between statuses using the visual editor (drag arrows from one status to another), name each transition to explain what action or movement it represents, arrange the visual layout for clarity, and save. That board-level workflow becomes the guide for how items are allowed to move between statuses.

Once your workflow is designed, every item on the board will show a visual map of the valid next steps in its workflow when viewed via the Workflow Hub Item View tab. You can click into any item, see where it currently is in the process, and from there pick one of the valid transitions. The item’s Status column updates immediately, so people always see what actions are possible next. This helps avoid guesswork and ensures things flow as intended.

The main limitation currently is that only top-level items are supported in workflows. That means sub-items (child items) can’t receive their own workflows. So all control and mapping is at the level of parent items. Also, only one Status column per board can be active in a given workflow. Those are the main constraints to watch out for.

It’s best not to over-complicate. Too many statuses or overly complex transitions can confuse users rather than help. Use clear, action-oriented status names, keep your workflow layout clean visually, and review the structure with your team before locking it in. Also, keep the mapping of possible transitions intuitive — minimize loops unless needed, and make sure labels on transitions reflect actual work (for example “Send to QA,” “Request Review,” etc.).

If your team’s process is status-driven (i.e. items move through defined stages), this tool really shines. Examples include support ticket triaging, content review, feature progress, onboarding flows, or anything where there are decision points or structured steps. It’s less useful for free-form or unstructured tasks where there are many ad hoc paths that don’t map well to status transitions.
